Overview
Controlling access to various features within a software platform is crucial for maintaining security, efficiency, and compliance. Our platform offers robust functionality to restrict access based on specific criteria, including products, materials, suppliers, and team roles. This help article aims to provide a comprehensive overview of how you can leverage account roles and permissions to tailor access according to your organizational needs.
Account Roles
In 3E Exchange, account owners can add members to their team based on how many team members their subscription allows.
Account roles have native permissions and restrictions applied. Team roles in 3E Exchange include:
Owner
Admin
Editor
Viewer
Marketing
Owner:
There may be one account owner and this is who created the account, upgraded, and began inviting people to be on their team.
Account owners have access to all portions of the platform and have access to restrict members from accessing certain features via the "administrator settings" tab within "Settings"
There can only be one account owner and this role cannot be locked out of any portion of the platform.
Admin:
An admin will similar permission levels to the owner aside from the fact that admins can be restricted access to BOMs and Supplier contacts.
Editor:
An editor is able to access all portions of the platform that have not been restricted in administrator settings and if BOMs or suppliers do not have specific permissions applied.
An editor has the ability to create whatever is required such as dashboards within portfolio analytics, creating supplier records, and creating/editing Products or materials.
Viewer:
A viewer will have access too all portions of the platform but will not have any ability to create new or edit.
Marketing:
A marketing account is our most restricted role and thus this account would not have access to see any BOM information such as ingredients or compliance status'.
A marketing account has the ability to:
Publish finished products to the passport library
Respond to customer requests
Import sustainability and certification summary data

Adding Team Members and Changing Roles
Adding a team member to your account is a very simple process; To add team members to your account, navigate to "Settings" at the bottom left of your navigation bar and then click into the "Manage Team" Subcategory and then click on the "Add team members" button.
In the next popup, you can add multiple team members separated by commas, semicolon, or by adding emails on their own line entry.
To promote a team member to Admin, you will need to first add them to your team and then change their role. To do this you will need to select the checkbox next to the members name and then select the "Change Role" button, this dropdown will have an option to promote members to the "Admin" role:
BOM Permission Settings
When working on a team in 3E Exchange, only one person may edit a BOM at a time - but sometimes you need another degree of control to prevent unintentional changes to a BOM that you're actively working on or have finalized.
With BOM Permissions, you can:
Lock down a BOM so that no one may edit it
Specify team members (including yourself) who can edit or view a BOM
Determine whether consultants may edit or view the BOM
When a user is not permitted to edit a BOM, they cannot change information about the product (name, description, etc.), row data, or summary data. They may still view the product, create reports, and export.
When a user is not permitted to view a BOM, it does not appear in their library or Analytics. The BOM row substance information may be visible if the user has access to a BOM which contains the invisible BOM.

When configuring BOM Permissions, you first determine who may edit the BOM:
Anyone allows all editors on your team to open and edit the BOM.
No one prevents all users from editing the BOM.
Once locked, only an admin or owner can unlock this.
Specific team members allows only the users you enable to edit the BOM.
Specific team groups allows groups of users access to edit the BOM
No one is the recommended setting when you have completed a product and do not want to allow anyone to make changes to it.

βSpecific team members is the recommended setting when you or your colleagues are working on a BOM and want to prevent others from making changes when you leave it. When you choose this option, you will see a list of team members with editing roles whom you can enable.
Specific team groups is the recommended setting when you have different departments working in a 3E Exchange account and you want to apply broader permissions levels.
Second, in special circumstances you may determine who can view the BOM.
Anyone is the default setting, and all team members will be able to see the BOM in their library and edit it.
Specific team members allows you to make this BOM visible only to certain members of your team.
Specific team Groups allows you to make this BOM visible to certain team groups
Apply these permissions to linked materials will apply your selected changes to any materials linked to the selected product or material (and their linked materials, and so on). With this setting, your changes can quickly be pushed to a large number of related BOMs.

Configuring Permissions
These permissions will appear in your Products and Materials library views. You can click the lock button to view permissions:
A green shield indicates that BOM Permissions have been configured for this product or material.
The lock indicates whether you may currently edit the BOM - if permissions are set to prevent you from editing, or another team member is already editing the BOM, it will appear as a solid closed lock. Otherwise, the open lock indicates that you can edit the BOM.
Tip: You may use the "select all" checkbox to apply BOM permissions products or materials in bulk
Supplier level permissions
Similarly to how you can lock the ability to edit a bill of material, Owner and Admin type roles may apply permissions to accessing your supplier records.
Simply navigate to "My Suppliers" and the column furthest to the right will include the lock icons showcased above..
Enabling Substance Data Changes Permissions
Our Substance Data Changes Section can be found in the "Lists & Substances" section. This portion of our platform will notify you when regulatory lists update and if the update affected your product/material library compliance.
By default, this section will only notify the account owner. Owners and Admins can enable these notifications for team members via the "Manage Team" page:
