Managing Your Supplier Surveys

Now that you've sent your survey, how do you keep track of survey-related info? This article walks through all of 3E Exchange's tools!

Creating and sending a supplier survey is a pretty simple and straightforward process. The hard part is managing requests once they've been sent and encouraging suppliers to provide high-quality data! These built-in tools are here to help you manage your ongoing requests and organize your surveys over time.

Keep Tabs on your Survey

When you're in the middle of a supplier outreach campaign, it's crucial to keep up with your surveys to see how much data you're receiving and who is or is not responding to your request(s). The "My Surveys" page is a great place to start. The Status column in particular gives you a great glimpse into what state the survey is in.

There are 9 possible "Status" states:

  • Draft: You've created your survey, but haven't yet sent it to your supplier.

  • Request Sent: You've sent your survey to your supplier, but they haven't accepted or interacted with your request yet.

  • In progress: Your supplier has accepted your request and has the ability to start responding.

  • Response Received: Your supplier has completed the survey and sent data back to you. This status means you will need to take action and review the survey to either accept the responses or send revision requests.

  • Response Accepted: You have received the data from your supplier, reviewed it for quality, and accepted the data into your 3E Exchange account.

  • Response Partially Accepted: You have received the data from your supplier, reviewed it for quality, and have accepted part of the data into your 3E Exchange account.

  • Revision Request Sent: You have received the data from your supplier, reviewed the data, then sent a revision request to get better quality data.

  • Revision In Progress: Your supplier has accepted your revision request and has the ability to start responding to the revised request.

  • Revision Response Received: Your supplier has completed your revision request and sent data back to you.

  • Initiated: This status only displays for 3E Exchange users with the obtainment services add-on enabled. When these users send their survey, it will proxy to our obtainment team to begin contacting your suppliers.

Ask for a Revision Requests

If you receive a response from a supplier and send a revision request to get better quality data, you can go back to review that revision request at any time. To review these sent revision requests, you'll start in the "Status & Responses" tab of the survey record. Then click on the "Send a Revision Request" button.

Add Notes to Your Surveys

In addition to managing the status and historical revisions in your survey requests, we also understand that there are other updates and offline communication with your suppliers. To help you track all of this information in one place, you can use the "Notes" tab in your surveys to document any information you have as needed.

Archiving surveys

If you use 3E Exchange to manage comprehensive supplier survey campaigns, there is also a feature that allows you to archive old or completed surveys that no longer need to be on your radar.

To archive a survey, select the checkboxes next to them:
