How to complete surveys with the document agent

Complete Surveys Faster with Agentic Document Upload in 3E Exchange

Section 1: Introduction — Completing surveys just got a whole lot easier!

Instead of filling out every field manually, you can upload documents such as Safety Data Sheets (SDS), product declarations and more — and the agent will interpret the documents as though it were a regulatory expert and pre-fill answers to survey questions. All you have to do is review and submit.

This helps you:

  • Complete surveys faster

  • Reduce manual data entry

  • Avoid repetitive work

  • Submit more complete responses the first time

You’re always in control—you can review, edit, or enter responses at any time.

1. Upload all relevant documents

Upload relevant documents directly into the survey, such as:

  • SDS

  • Regulatory declarations

  • Product or material documentation

  • CMRT reports and more

Tip! - use complete and current files for best responses

  • Upload the latest version available

  • Include all relevant sections

  • The agent only knows what you give it, so upload as many files are might be useful for it to answer the questions asked in the survey.

2. Agent suggests answers using the information on the documents provided

Information from your document is used to populate survey responses automatically. This reduces manual data entry and helps standardize responses. The agent consults all 3E regulatory data when interpreting your documents.

3. Each response has a confidence score, reasoning and citation for quick and easy validation

Before submitting, review all responses.

You can:

  • Accept suggested answers

  • Edit responses

  • Complete missing fields

You are responsible for confirming accuracy before submission.

4. Submit

Once reviewed, submit your responses as usual.


Section 2: Supported File Types

You can upload a wide range of file types:

Documents

  • PDF (.pdf)

  • Word (.doc, .docx)

  • PowerPoint (.ppt, .pptx)

Spreadsheets

  • Excel (.xls, .xlsx)

Images

  • PNG, JPG, JPEG

Text files

  • TXT, XML, CSV

Report formats:

  • CMRT - see below for CMRT specific handling

  • Any other report formats

Section 2.a: CMRT Handling

  • If your survey includes conflict minerals questions, you can upload your Conflict Minerals Reporting Template (CMRT) along with your other documents.

What happens when you upload a CMRT

The agent identifies your file as a CMRT and reads the Declaration of Scope to determine how it applies:

  • Company-level scope — Data is applied across all materials in the survey. Conflict minerals fields will be pre-filled and read-only.

  • Product-level scope — Data is applied only to the specific materials identified in your CMRT. Other materials remain editable.

You don't need to do anything differently — just upload your CMRT along with your other documents.

Uploading multiple CMRTs

  • You can upload more than one CMRT if needed. If multiple files are present, the system applies the following priority: Company-level > Product-level > Other

  • If two CMRTs contain data for the same material, the first file uploaded takes precedence.

  • If the scope field is blank

    • If your CMRT does not have a Declaration of Scope filled in, the system won't be able to map the data. Those fields will show as "Insufficient data" and will need to be completed manually.


Section 3: Confidence Scores & Reasonings

Each response includes a confidence indicator.

High confidence

  • Strongly supported by your document

Low confidence

  • Partially supported — review carefully

Insufficient data

  • No usable evidence in the uploaded files— manual input required

Tip! - How to use it

  • Focus on lower-confidence responses

  • Quickly review high-confidence responses

  • Complete missing information as needed

  • If you have many insufficient data responses, try uploading files that correlate with the material list and topics in the survey


Section 4: Expected Processing Time

Processing time depends on the size and complexity of the documents you upload.

Typical expectations

  • Smaller uploads: a few documents with limited pages typically tak a few minutes

  • Larger uploads: a survey with +600 materials and hundreds of pages of documents will take a number of hours to process. But don't worry, you'll get an email when it's complete!

What affects processing time

  • The number of documents uploaded

  • The number of pages in each document

  • The amount of information within each page


Section 5: Known Limitations

Document-based processing only

Responses are generated only from the documents you upload. If required information is not present in your documents, it will not be automatically filled.

No external data retrieval

The agent does not:

  • Search the web

  • Access external databases

  • Retrieve information from other systems

Some topics may require manual input

Certain areas may not be fully supported and may require manual completion.
